Before September 28th


Sunday 9/22/2024 - 8AM to 4PM Clubhouse Cleaning

Cleaning - sweeping, mopping, cleaning 2 restrooms, wiping down tables, snagging cobwebs with long duster, dusting blinds, etc.



Friday 9/27/2024 - 3-9 PM GIAD Preparation Day

    (last year we were there until 6:30/7PM) 


Set Up - stuffing swag bags, taping posters together, taping signs up, putting tablecloths on tables, setting up raffle prize table, possible food prep, organizing kitchen, moving plastic folding tables and chairs, prep and stage outside tables and chairs, and other similar things.


Possible Volunteer Training - would you like to know how to: teach the activity at your table? learn to marshal small aircraft? provide the safety briefing?


And anything else we can prepare in advance of tomorrow!!


September 28th

DAY OF:

Saturday 9/28/2024 - 6 AM to 4 PM - Girls in Aviation Day!


6-6:30 AM Set up crew arrives and starts erecting pop up tents, placing the outside tables and chairs, placing outside signage


7 AM Breakfast, Snacks & Drinks Set Up

We need help with this! Our Chef/Organizer has been out of commission; so if you know anyone that can help please let us know!!!


7 - 7:20 AM Activity Volunteers begin arriving and setting up their tables


7:20 AM Registration Volunteers arrive - organize your table and the name tag tables... make sure to know location of safety briefing area to direct families to after the girls create their name tags.


7:40 - 9:20 AM Marshalling Team on Ramp

GA Aircraft begin arriving before 8 AM

US Coast Guard Search and Rescue Helicopter will arrive and be in place shut down by 9 AM

C130J fly over 8:50 lands and taxies to be in place by 9:30 AA


7:30 - 11 AM Registration table is open


7:40 AM - 11:20 AM Safety Briefings - Special stickers are added to the girls badges so we know which girls are eligible for the sheet metal skills activity and walking the ramp and seeing the aircraft. 

Swag Bags / Activity Kits are handed out after safety briefing as well.


8:50 - 9 AM C130J Fly Over


9 - 9:30 AM Welcome to GIAD (Dignitaries) 


8:15 AM - 2 PM Escort Teams are needed on the ramp - GA Aircraft should arrive and be shut down by 8:30 AM and the Coast Guard should be arriving and shut down by 9 AM. 


9:30 AM - 1 PM / maybe until 2PM

Volunteers for Flight Line Perimeter and Assisting Civil Air Patrol Escorts with helping monitor groups on the ramp and flight line - Keeping Everyone Safe!!

Girls are allowed to start touring the aircraft after our Welcome to GIAD Session ends. Coast Guard has been requested until 2 PM so we may need escorts until 2 PM - depending on the girls and their families.


9:30 AM - 12:30 PM Activity Tables are Open

  • Each girl that registered in advance will have a Pink Admit One ticket to select which scheduled activity and session she would like to participate in - we only have enough spaces for 1 activity - so they need to choose which scheduled activity and which session (depending on availability.
  • Flight Simulator, Charting a Flight Path,  Dope & Fabric Aircraft Repair (Stuffed Airplanes) & Learning about LiDAR drones are all scheduled for 30 minute sessions with a set capacity per session. Sessions are at 9:30, 10, 10:30, 11, 11:30 & Noon
  • Jewelry Making, Oobleck, Soaring  Succulents, Tooling (KAM Snaps) and Photobooth are all unscheduled / drop in activities. These will be active until we run out of supplies.


10 AM to 1 PM - 6 speaker sessions

10 AM Civil Air Patrol or Guest

10:30 AM Melissa Holmes, Air Traffic Controller

11 AM 2023 RAS Scholarship Winner - Brody

11:30 AM DeWitt Hodge, Hodge Flight services

12 PM Dr. Maureen Powers

12:30 PM Women in Aviation Panel

10 AM, 11 AM, Noon, & 1 PM Raffles

We will need help setting up the raffle prizes and running the raffle on the day of the event. We will have many of the prizes the day before and we can set up a table during Prep time to help make Girls in Aviation Day less hectic.


1 PM Last Raffle & Closing (Dignitaries)


2 PM Girls adjourned.


2-4 PM Clean up and pack up.
